How to Move Guests to Different Sites on Your Dashboard

Need to relocate a guest from one site to another? Your dashboard makes this easy for both current and upcoming reservations. Here’s a full walkthrough of both methods.

Method 1: Moving an Upcoming Reservation (Drag and Drop)

This method works only for guests who have not checked in yet. On the dashboard, these reservations appear in light blue.

  1. Find the guest’s reservation on the dashboard (for example, a guest currently booked in R3).
  2. Click the reservation once. You’ll see arrows appear — up, down, and side to side — indicating the booking can be moved.
  3. Drag the reservation into the new site (for example, sliding it from R3 to R4).
  4. A prompt will ask if you want to edit the booking. You have two options:
    • Skip email — move the guest without notifying them.
    • Yes, edit booking — move the guest and send them a notification email.
  5. Once confirmed, the reservation moves to the new site. If everything is valid, you’ll see the guest now listed under the new site on your dashboard.

Note: If you try to move a guest into a site with a different price or site type (for example, moving an RV guest into a tent site), the system will not allow it through this drag-and-drop method. You’ll get an error message, and you’ll need to cancel and use Method 2 instead.

Method 2: Moving a Guest Who Is Already Checked In

If a guest is currently staying at their site, you won’t see the arrows appear when you click their reservation — dragging and dropping won’t work. Instead, you’ll need to edit the booking directly.

  1. Click on the guest’s reservation.
  2. Scroll down and click “Edit.”
  3. Review the booking details to make sure everything is correct.
  4. In the Site Information section, click to see which other sites are available. The system will show you sites that are set at the same price as the guest’s current site.
  5. Select the new site (for example, moving the guest from R3 to R5).
    • If there’s no price difference, you’ll be asked whether to send the guest a notification email or skip it.
    • You may also be asked about a non-refundable amount, if your campground has that setting enabled.
  6. Click Save Booking.
  7. Return to the dashboard to confirm the guest now appears at the new site.

Important: Site Type and Price Must Match

When moving a checked-in guest, the new site must be the same site type and set at the same price as their original site (for example, RV site to RV site at matching rates). If the sites don’t match, the system will block the move and show an error.

Method 3: Moving a Guest to a Different Site Type or Price (e.g., RV Site to Tent Site)

If the guest wants to move to a site with a different type or price — such as moving from an RV site to a tent site — you cannot use the drag-and-drop method. You must edit the full reservation:

  1. Click on the guest’s reservation and select Edit.
  2. In the Site Information section, manually update the site (for example, changing it to T1, a tent site).
  3. The system will calculate the price difference and let you know whether the guest:
    • Owes an additional amount, or
    • Is due a refund.

    For example, moving from an RV site to a cheaper tent site might generate a refund (e.g., $97.23).

  4. If this matches what the customer wants, click Save Booking.
  5. Wait for the booking to update, then return to the dashboard to confirm the guest has been moved to the new site.

A Few Things to Keep in Mind

  • Drag-and-drop moves only work for upcoming reservations, not guests who are currently checked in.
  • When moving between sites of the same price, you’ll have the option to skip or send a notification email, and to skip or apply a non-refundable amount (if enabled for your campground).
  • When moving between sites with different prices, the system automatically calculates any additional charge or refund due.
  • This feature is actively being improved — updates that make it easier to move currently-checked-in guests directly from the calendar are in progress.
