POS - Completing a Sale and How to Refund

How to Use the POS Feature with Product Categories and Product Types

Let’s Camp’s Point of Sale (POS) system now supports product categories and product types, making it easier for campground staff to sell merchandise, track inventory, and manage transactions directly from the dashboard. Here’s a step-by-step walkthrough of how it works, from starting a sale to processing a refund.

Getting Started

Once your products and categories have been set up on the back end, creating a sale is simple. From the left-hand dashboard menu, navigate to Point of Sale.

If you ever need to look up whether a specific camper made a purchase, the Sales History lets you search by name, product type, or date range — making it easy to reference past transactions.

Starting a New Sale

To begin a new transaction:

  1. Click Start Sale in the top right corner.
  2. Search for the product type you’d like to sell (for example, a bag of Doritos).
  3. Enter the quantity being purchased.

The system will automatically load the pricing you’ve set up in your settings, though you also have the option to override the price manually if needed when creating the sale. If you’ve applied tax to the product, it will display on the sale; if no tax was set up, it simply won’t appear.

Next, enter the camper’s email address. If the person already exists in your system, you’ll see an “existing user found” message, and their information will populate automatically. You can also add optional notes to the sale before proceeding.

Completing or Pausing Payment

Once the sale is created, you’ll be taken directly to the payment screen — similar to the booking payment flow. From here you can accept payment via terminal, credit card, or another method you support.

If a camper needs to step away before paying (for example, if they forgot their wallet), you have two options:

  • Cancel the sale, or
  • Skip the payment

Skipping payment marks the transaction as Unpaid in the sale type. When the camper returns and is ready to pay, simply locate the sale and click Edit Sale to pick up where you left off. This is also the point where you can adjust the order — for instance, changing the quantity from two bags to three — before finalizing payment.

Once payment is collected (cash, in this example), click Save Payment. The system generates a reference number for the purchase, and both you and the camper receive a confirmation email with the full purchase details.

Processing a Refund

If a camper wants to return an item, the process depends on how the product was configured:

  • If the item was marked non-refundable, the system won’t allow a refund unless you change that setting.
  • If the item is refundable — say, an unopened bag that’s being returned — you’ll need to edit the sale first before you can issue a refund.

To do this:

  1. Click Edit Sale and update the quantity to reflect the return (for example, reducing the order from two bags to one).
  2. Save the updated sale — the new total will display automatically.
  3. Click Add Refund. If you try to refund before editing the sale, the system will show there’s no amount available to refund.
  4. Enter the refund amount and select the refund type. It’s recommended to refund using the same payment method the camper originally used.
  5. Click Save Refund.

The camper will receive an email confirming the refund amount. The sale record will then show a complete history: the original purchase followed by the refund.

Reviewing Sale History

Every edit to a sale is tracked. For example, if a sale started with one item and was later updated to two, both versions remain visible, with the most recent one shown first. Clicking into any sale lets you scroll through its full history — including quantity changes, payment details, and refund activity — giving you a complete audit trail for every transaction.
