How to Create a Report Template in Your System
Creating report templates can save you significant time by preserving your preferred column selections and settings for future use. This guide walks you through the process of creating, using, and managing report templates in your system.
What Are Report Templates?
Report templates allow you to save customized report configurations so you don’t have to manually select the same columns and settings every time you generate a report. Once created, templates can be quickly loaded to apply your saved preferences instantly.
Creating a New Report Template
Step 1: Navigate to the Reports Tab
Start by accessing the Reports section of your system and select the type of report you want to create a template for (such as the Transaction Report).
Step 2: Configure Your Report Settings
Customize the report according to your needs by:
- Setting your preferred date range
- Selecting the columns you want to include
Example Configuration: For a transaction report, you might always want to include:
- Booking reference numbers
- Tax information breakdown
- Other relevant columns for your workflow
Step 3: Create the Template
- Once you’ve configured your report settings, look for the “Create New Report Template” link
- Click this link to open the template creation dialog
- Enter a descriptive name for your template (e.g., “Standard Transaction Template”)
- Click “Save Report Template” to finalize the creation
Using Your Saved Templates
Loading a Template
- Navigate to the Reports tab
- Select your desired report type (e.g., Transaction Report)
- Look for your saved template in the “Saved Report Templates” section
- Click on your template name (e.g., “Standard Transaction Template”)
- Your pre-selected columns and will automatically load
- Change your dates, then download your report as usual
Managing Your Templates
Once you’ve loaded a template, you’ll have additional management options:
Updating an Existing Template
- If you make changes to column selections after loading a template, you can update the existing template with these new settings
- Look for the “Update Template” option after making modifications
Deleting Templates
- If you no longer need a template or made an error, you can remove it entirely
- Use the “Delete This Template” option to permanently remove it from your system
- You can also remove templates from your saved templates list without deleting them completely
